How to Use the Time Card Calculator

Overview

This calculator helps you track work hours for each day of the week and automatically calculates total hours, overtime, and break deductions. Perfect for employees, contractors, and employers who need accurate time tracking.

How Time Card Hours Are Calculated

Daily Hours: End time minus start time, minus any break time

Regular Hours: Total weekly hours up to the overtime threshold (default: 40 hours)

Overtime Hours: Any hours worked beyond the regular hour limit

Break Deduction: Automatically subtracted from daily totals when enabled

How Input Rounding Works

Rounding helps standardize time entries for payroll purposes:

5-Minute Rounding:

9:07 → 9:05  |  9:13 → 9:15  |  9:18 → 9:20

6-Minute Rounding (1/10 hour):

9:03 → 9:00  |  9:09 → 9:06  |  9:15 → 9:18

15-Minute Rounding:

9:07 → 9:00  |  9:23 → 9:30  |  9:38 → 9:45

Note: Rounding applies when you finish entering a time and move to the next field. Times are rounded to the nearest interval using standard rounding rules.

Step-by-Step Guide

1. Enter Times

Type start and end times. Use formats like "9", "9:30", "930" or "9:30 am"

2. Add Breaks

Enter break duration in minutes (e.g., "30" for 30 minutes, "60" for 1 hour)

3. Set AM/PM

In 12-hour mode, click AM/PM buttons to set the correct time period

4. Review Results

Check the summary table for total regular hours, overtime, and weekly totals

Settings Explained

Clock Format

Choose between 12-hour (AM/PM) or 24-hour (military) time format

Deduct Breaks

When enabled, break time is automatically subtracted from daily hours

Set the weekly hour threshold for overtime calculation (e.g., 40 hours)

Week Begins

Choose whether your work week starts on Monday or Sunday

Round Inputs

Automatically round time entries to nearest 5, 6, or 15-minute intervals. For example: with 15-min rounding, 9:07 becomes 9:15, and 9:23 becomes 9:30. 6-minute rounding is commonly used for payroll (1/10th hour increments).
